How to add loyalty while keeping your billing software.
You may be happy with your billing software and still want a better rewards process. Start by choosing how the two will work together: a supported software connection or Reward Desk, where staff record purchases and handle eligible rewards while your current software issues the bill. Compatibility, required information, staff steps and your selected plan determine the fit.
First, check what your systems can share.
A supported integration exchanges the customer and purchase information needed for the rewards process. Check what moves in each direction, when it arrives and which system confirms the action. Confirm the point-of-sale (POS) billing system version, configuration and connector for your purchase journey, not only the name on a compatibility list.
If you need offers based on individual items, make sure the connected system supplies the necessary item details and that the selected route supports those rules.
With Desk, staff connect the sale to the reward.
Reward Desk is a supporting route for businesses retaining billing. Staff look up the customer, enter the relevant bill value, handle eligible rewards and confirm the outcome. Discuss how to import records and check that bill and reward totals match as part of setup.
Your existing system still handles the bill and inventory. Desk uses the entered bill value; it does not automatically synchronize every POS or provide offers based on individual bill items.
Follow one sale through both records.
A shop completes a ₹1,200 bill in its existing POS. In the staff-operated route, the cashier identifies the customer in Reward Desk, enters the relevant bill value and follows the eligible reward process. The team needs a way to connect that confirmation to the bill for later review.
If the purchase is subsequently refunded, staff need the approved correction procedure for both systems. Test the reference, permissions and resulting records before launch. This example explains the questions to settle; it is not evidence of universal compatibility or a fixed refund mechanism.
Try it at the pace of your counter.
List each staff step and who performs it. Test a duplicate confirmation, a customer with no eligible offer, an incorrect bill entry and a refund. Check the customer-visible explanation as well as the operator record. A workflow that looks clear in a diagram still needs a practical trial at the counter.
Agree how customers are identified, how imports are checked and who handles corrections. Include permissions, training, communication preferences, checks that bill and reward records match, and plan costs. If the extra staff steps do not fit your team, compare billing with rewards together in Counter.
